Stock issue
Use this page to create and post stock issues.
Create a stock issue
- Select Create.
- Select the Site and the Date.

Leave the stock issue number blank to generate the next sequential stock issue number or enter your own reference.
The Status is Details required.

Select or create a Reason to capture a record of an adjustment of a quantity in stock.
- Enter a Description to capture any additional information.
- Select Add line from the Document lines grid.
- Select the Item.
- Enter the Quantity in stock unit.
- If locations are managed in the site, you can select the Location. You can also leave it blank to split the quantity between different locations.
- You can select the Quality control status or leave it blank to split the quantity between different statuses when you select stock details.
You can now select stock details.
Select stock details
Select the More actions icon from the grid line, then select Stock details. The Stock issue details window displays all the stock lines that are available for the selected item.

Select the stock lines and enter the Quantity to issue on each selected line.
You can select different stock lines to split the quantity between different stock details until the selected quantity reaches the Required quantity.
When the item is serial numbered, the Serial numbers grid displays. You need to select the serial numbers to issue.
- Select Add line.
- In the From serial number field, select the first serial number.
- The quantity defaults to 1. You can change it to select a range of serial numbers. In this case, the quantity you enter needs to match the quantity of serial numbers available in the range. The last serial number from the serial number range displays in the To serial number field.
- You can add different lines to select different ranges of serial numbers or select the serial numbers one by one.

Select OK, then Save.
The Status column in the Document lines grid changes from Details required to Details entered.
Assign dimensions
You can assign dimensions to a line when the stock issue status is Details required, Details entered or Stock posting error.

Select the More actions icon from the line, then select Dimensions.

You can select a dimension for each dimension type.
Manage dimensions
Stock issue lines can inherit dimensions and attributes from the site, item or from both. For this, dimensions and attributes need to be set on the site record or item record, and default dimension rules need to be set on the company record, on the Dimensions tab. When you create a stock issue, the dimensions default on the lines from those defined for the site, item or both.
If default dimension rules are not set for the company, you can add dimensions directly on the stock issue lines. You can add and change dimensions on each line individually. Or, when you create the stock issue you can add the dimensions for all lines and then change them individually later if required.
To manage dimensions for individual lines:
- From the More actions icon on the line, select Dimensions.
- Select the dimensions you want for the line.
- Save.
To manage dimensions for all lines:
- From the More actions icon on the record, select Set dimensions.
- Select the necessary dimensions.
- Select Apply to all lines to apply the dimensions to all the existing and future lines or Apply to new lines only to apply the dimensions to future lines only.
Post a stock issue
Select Post stock to generate the stock movements.
The Status changes automatically from Details entered to Stock posting in progress, then to Issued. When the post is not successful, the Status changes to Stock posting error.
When you successfully post the stock issue, the Posting tab displays, where you can navigate to the associated journal entry record and monitor the posting status of the stock issue.
Edit or delete a stock issue
To edit or delete the stock issue record:
- Select the stock issue record.
- Make changes as needed.
- Select Save or Delete.
To delete a grid line:
- Select the stock issue record.
- Select the More actions icon from the grid line.
- Select Delete.
