Field descriptions: Sales return request

Field Description
Number

The sales return request number.

If sequence number rules are defined for the sales return request on the Sequence number assignment page, the return request number populates automatically when you save the return request for the first time.

Sales site The sales site.
Requester The person creating the return request. By default, it's the person logged in when creating the return request.
Return request date The date the return request is created.
Sold-to customer The sold-to customer defaults to the original sales order sold-to customer.

Lines tab

Field Description
Item ID The item ID.
Item name

The item to return.

Origin

The origin is Shipment because you create a sales return request from a sales shipment.

Quantity in sales unit

The number of items to return in the sales unit.

Reason

The return request reason.

Return request reasons are managed on the Return request reason page.

Sales unit The item sales unit.
Source shipping site

The site the item was shipped from.

Status

The return request line status.

  • Draft: The return request is being created or is created.
  • Pending: This status displays when the return request is approved and when the sales return receipt or credit note are created.
  • In progress: This status displays when there is a sales return receipt and the receipt on the corresponding return receipt line is not complete. You still need to record the item receipt.
  • Closed:
    • Lines close when the return request is rejected.
    • When there is a sales return receipt, a line closes when all items on the corresponding sales return receipt line are received. You can also close a return request line manually even if all items are not received yet.
    • When there is only a credit note, lines close when you close the return request.

Information tab

Field Description
Item description

The item description defaults to the item. You can change it if necessary.

Item name

The ordered item.

Origin

The origin is Shipment because you create a sales return request from a sales shipment.

Reason

The line return request reason.

Return request reasons are managed in the Return request reason page.

Source shipping site

The site the item was shipped from.

Sales block

Field Description
Quantity in sales unit

The quantity to return in the sales unit.

Sales unit

The item sales unit.

Stock block

Field Description
Quantity in stock unit

The quantity to return in the stock unit.

Stock unit

The item stock unit.

Stock unit conversion factor

The sales to stock unit conversion factor.

The sales to stock conversion factor is managed in the item record.

Origin tab

Field Description
Document type The origin document type such as sales shipment.
Origin document number The origin document number and a link to this document.
Status The origin document status.

Progress tab

On this tab, you can track the statuses and quantities of the sales return receipts and credit notes.

This tab displays only when a sales return receipt or credit note is created.

Receipt block

Field Description
Quantity in progress

The number of items on the return receipts not yet posted.

Receipt quantity The number of items on the return receipts posted.
Receipt status

The return receipt status.

  • Not received: The customer needs to return items but no sales return receipt is created yet. Or the customer does not need to return items and only a credit note is required.
  • Partially received: There is a partial sales return receipt.
  • Received: There is a full sales return receipt.

After a return receipt is created, the information about the receipt is displayed in a grid. There are as many lines as return receipt lines.

Quantity in sales unit

The quantity on the sales return receipt line in the sales unit.

Quantity in stock unit

The quantity on the sales return receipt line in the stock unit.

Return receipt number The sales return receipt number and a link to this return receipt.
Return receipt status

The return receipt status:

  • Draft: The return receipt is created. The stock details need to be entered and the return receipt needs to be posted. Or there are stock movement errors and the return receipt cannot close.
  • Closed: All items are received, and the stock movements are complete.

Credit note block

Field Description
Credit note status

The credit note status.

  • Not credited: No credit note is required. Or a credit note is required but not created yet.
  • Partially credited: Only some quantities are credited, on 1 or multiple partial credit notes.
  • Credited: All quantities are credited, on 1 full credit note, or on multiple partial credit notes.
Credited quantity The number of items on credit notes posted.
Quantity in progress

The number of items on credit notes not yet posted.

After a credit note is created, the information about it is displayed in a grid. There are as many lines as credit note lines.

Amount credited

The amount credited on the credit note.

Credit note number The sales credit note number and a link to this credit note.
Credit note status

The credit note status.

  • Draft: The credit note is created but not yet posted.
  • Posted: The credit note is posted.
  • Error: An error occurred during the credit note posting.
Quantity in sales unit credited

The number of items on the credit note.

Line notes tab

The notes you enter on this tab relate to the sales return request line. If you want to add notes for the sales return request in general, go to the Notes tab of the sales return request.

Internal line notes

The text box where you can add notes you want to share with your colleagues about the sales return request line. Those notes are only for internal purposes. Customers cannot see them.

Return type

There are 3 return types:

  • Receipt and credit note: You want the customer to return the items and you want to issue a credit note.
  • Receipt and no credit note: You want the customer to return the items but you do not want to issue a credit note.
  • Credit note: You do not want the customer to return any items but you want to issue a credit note.

Sold-to address

Field Description
Address line 1 and 2 The address details.
City The city or town where the address is located.
Country The country where the address is located.

County

State

Department

The field label and formatting changes according to the selected country.

Name

The company or person at this address.

Phone number The contact's phone number.

Post code

Postal code

The postcode or ZIP code according to the selected country.

Shipping tab

Field Description
Delivery mode

Defaults to the original sales shipment delivery mode. You can change it if the customer needs to return items using a different mode.

Ship-to customer

Defaults to the original sales shipment ship-to customer.

Stock site

The stock site from where the items were shipped and need to be returned.

Ship-to address

The address details.

Field Description
Bill-to customer

Defaults to the bill-to customer on the original sales shipment.

Credit status

The credit note status.

  • Not credited: No credit note is required. Or a credit note is required but not yet created.
  • Partially credited: Only some quantities are credited, on 1 or multiple partial credit notes.
  • Credited: All quantities are credited, on 1 credit note, or multiple partial credit notes.

Bill-to address

The bill-to address defaults to the bill-to address on the original sales shipment.

Notes tab
